
Child Sponsorship Agreement
IMPACT OF YOUR HAM MINISTRY CHILD SPONSORSHIP:
Thank you for your invaluable support. Your generosity is not just a donation, but a lifeline for the child you sponsor. Your involvement creates a safe environment with access to nutritious food, clothing, education, medical care, and, above all, the warmth and love of a family. You are the reason for this transformation.
It's important to remember that you—and every one of our sponsors—are the heart of what we’re able to accomplish in Africa. Your sponsorship is not just a financial contribution, but a catalyst for lasting and meaningful change in the life of the child you care for. Your role is significant and deeply appreciated.

STATEMENTS AND UPDATES:
WHAT TYPES OF STATEMENTS AND UPDATES WILL I RECEIVE?
All sponsors will receive a statement at the end of the financial year for tax purposes. In addition, you will receive an annual sponsorship update. You will also receive periodic updates about the impact of your sponsorship.
OUR GIFT POLICY:
CAN I SEND GIFTS TO THE CHILD I SPONSOR?
We love the generosity of our sponsors. Monetary gifts are welcome and will be pooled into a gift fund, allowing all our sponsored children to receive gifts on special occasions, such as their birthdays, Christmas, or graduations. Gifts are selected based on each child's needs and interests and distributed by our local staff to ensure fairness and equal opportunity for all children.
If you’d like to make a special gift donation, please connect with the HAM MINISTRY Support Office and specify the purpose of the gift. Your special gift will be used to support specific needs or projects that benefit all our sponsored children, such as educational materials, healthcare, or community development initiatives.
For those who would like to send a physical gift, please note that, to ensure fairness to all those in our care, parcels received are pooled and distributed evenly for special occasions. Please mail those directly to the HAM Ministry Office in Uganda at the address below:

NOTE: We advise against mailing expensive parcels, as these items must be cleared by customs in Uganda. Unfortunately, there is a risk that valuable items may be seized.
WRITING TO YOUR SPONSORED CHILD:
MAY I WRITE TO THE CHILD I SPONSOR?
Absolutely. Your HAM Ministry child can’t wait to hear from you. The simple act of receiving an email or letter from you encourages them and lets them know they are valued and loved.
HOW OFTEN SHOULD I WRITE TO THE CHILD I SPONSOR, AND WILL I RECEIVE A REPLY?
We encourage you to write at least once or twice a year. Yes, you will receive a reply—your child can’t wait to write and tell you about themselves and what’s going on in their lives. Please note that, due to logistics, it may take about three months for you to receive their reply.
While your sponsored child would love to hear from you, we understand that people lead busy lives and may not be able to write consistently. We understand, so we’ve made it easier for you to stay connected—you can send a brief message by emailing them at childsponsorship@hamministryuganda.com
Your sponsored child is incredibly grateful for what you are doing for them. Your support is truly making a significant impact on their lives. They look forward to sending you updates about themselves twice a year, and they’ll be praying for you.
PROTECTING YOUR PERSONAL INFORMATION:
Rest assured, the security of our sponsors’ personal information and the protection of the children in our care are of the utmost importance. We have strict policies in place to ensure your privacy and the safety of our children. Please use only the approved channels listed below to contact the person you sponsor.

When sending a letter via mail, please:
-Include your full name and address on the envelope.
-Clearly, print your sponsored child's or mother’s full name on the back of the envelope. All envelopes are kept confidential in the HAM Ministry’s office and are only explicitly available to the Child Sponsorship Staff Supervisors.
SOME HELPFUL TIPS WHEN WRITING TO YOUR CHILD:
Your letters are an encouragement to our children. Hearing from you means the world to them. Thanks for taking the time to make a difference in their lives.
Here are a few tips we hope you find helpful:
• Keep it short and straightforward. English is a second language for most of our children, so this helps them better understand and reply to you. Plus, for some of our children, your letters may need to be translated.
• Share a bit about yourself and your family or friends, so they can get to know you better.
• You may want to ask them a few questions.
•You can ask about their favorite subject in school and what they want to be when they grow up.
• Let them know you’re praying for them, and encourage them in the different areas of their lives.
WHEN MAILING A LETTER OR CARD, IS THERE ANYTHING I CAN INCLUDE?
Yes, photos and small items that personalize your letter and help them connect with you are great.
Here are a few suggestions:
• Photos of you and your family or friends
• Stickers
• Bookmarks or scripture cards
IS THERE INAPPROPRIATE CONTENT THAT I SHOULD NOT INCLUDE?
To protect both you and the child that you sponsor, please do not include any of the following in your correspondence:
• Your personal contact information, such as address, phone number, email, or social media details • Promises of additional financial assistance over and above your sponsorship
• Suggestions that your sponsored child should visit you
• References to expensive gifts or material possessions, as this can make them feel deprived and uncomfortable, or can provide unrealistic expectations
• Cash or checks in any correspondence
Please note that HAM Ministry will not deliver inappropriate content to the sponsored child.
WHAT TYPE OF UPDATES WILL I RECEIVE?
In addition to receiving letters from your sponsored child, you will receive a quarterly sponsorship update about them. You may also receive random updates from us, including information on how your generosity is impacting lives.
SPONSORSHIP TERMS OF SERVICE:
COMMITMENT TO PRIVACY:
HAM Ministry respects the privacy of our sponsors and the children in our care. Each person will be treated courteously and fairly, with their privacy protected, and we are committed to maintaining this standard.
Personal information provided in good faith by sponsors and donors will be used solely to maintain or enhance their relationship with HAM Ministry and the child they sponsor. Only the sponsor’s name and country of residence are shared with the sponsored person.
Similarly, the HAM Ministry protects our children by providing only information deemed necessary and appropriate to foster healthy relationships with their sponsors.
PROTECTING YOUR INFORMATION:
HAM Ministry has procedural, physical, and electronic safeguards to secure the personal information of our sponsors.
• We verify the security and privacy provisions of other organizations to whom we provide information about sponsors, including our bank, merchant services, and mailing services (as applicable).
• We do not trade, share, rent, or sell information that you provide to us with other organizations.
• Sponsors’ personal information, whether collected on paper, stored on a database, or recorded on other means, will be collected and managed appropriately. Safeguards have been implemented to ensure this compliance under the General Data Protection Regulation (GDPR).
• Secure Socket Layer (SSL) Encryption is used when collecting or transferring credit card information via the internet, ensuring a secure environment for the transfer of your confidential data from your browser to our financial institution using the latest encryption technology.
CORRECTING YOUR INFORMATION:
HAM Ministry is committed to keeping our records up to date, ensuring sponsors can easily update their personal information as needed.
When needed, our HAM Ministry staff will clearly identify themselves when contacting sponsors, and all letters and marketing materials will contain the HAM Ministry logo and contact details.
RATES AND PAYMENTS:
Sponsorship payments may be made monthly. Here are the rates by country:
RATE PER MONTH: US$30 / CAN$41 / UK £23 / AUS$43 / NZ$48 / NO Kr 300 / SE Kr 300 / NL €29
RATE PER YEAR: US$360 / CAN$492 / UK £276 / AUS$516 / NZ$576 / NO Kr 3600 / SE Kr 3600 / NL €348
Unless other arrangements are made with our HAM Ministry US Support Office or in the region where your sponsorship is administered, staff will charge the sponsorship payment to your credit card monthly.
To make a sponsorship payment, you may click the link below and sign up for reoccurring payments through the website.
For other payment options, please contact the HAM Ministry US Support Office or the regional office that administers your sponsorship. All sponsorship payments are tax-deductible. You will receive a statement at the end of the financial year for tax purposes.
NOTE: If you’re in the UK, Gift Aid is reclaimed by the charity from the tax you pay for the current tax year. You will need to provide us with your address to identify you as a current UK taxpayer for these purposes.
REFUND POLICY:
Sponsorship payments are non-refundable once the payment information is provided and the funds are remitted.
LATE PAYMENTS:
We are grateful for your sponsorship, which enables us to provide holistic care for our children. We understand circumstances may arise that prevent you from making a payment on the scheduled date. If you miss a payment, our friendly team will be in touch to help you make arrangements to continue the good work you’ve started.
Suppose you are unable to make a payment for two months, and we’re unable to reach you to make alternative arrangements. Unfortunately, we must cancel your sponsorship to ensure consistent care for the child you sponsor. Of course, please feel free to reach out if something unexpected happens and you are unable to continue your sponsorship. We value you and would love to connect with and pray for you.
TERMINATING YOUR SPONSORSHIP:
If you choose to cancel your sponsorship for any reason, please contact our HAM Ministry US Support Office or the region where your sponsorship is administered. We will be happy to assist you. To cancel future sponsorship payments, the sponsor must provide notice at least seven days before the payment due date. If payments are processed beyond the agreed stop date, HAM Ministry will reverse the transaction through our bank or the payment service provider. In the case of deductions or transactions made in error on our part, we will incur the transaction fees.
